The East Hartford Board of Education generously permits employees to donate sick days to colleagues in need. You may donate to anyone in district; they need not be in your bargaining unit. Here are tips for creating a sick bank:

 

  • Inform Human Resources that you wish to set up a sick bank for a colleague. This request will be presented to the Board of Education and you will be notified when you are clear to begin collecting days.
  • All sick day donors must fill out Request for Time Off forms (found at easthartford.org under Staff Resources: Human Resources).
  • Your goal should be to submit forms all at once to HR prior to the teacher in need’s last personal sick day is exhausted.
  • To streamline the process, you may want to create a master form for each group by filling in the position line (Administration-Teacher-Secretary-Custodian-Maintenance). Then make multiple copies to hand out.
  • Date the form with the last day you plan to accept contributions.
  • On the dates of absence line type/write: _____days contribution to Harry Potter Sick Bank.
  • Have donors Print their name, indicate number of days and provide signature.
  • Check off the With Pay box .
  • Check off the ILLNESS – SELF line.
  • In the Comments section type/write:  ______ Days to Donation to Harry Potter Sick Bank and you or the donor can again indicate the number of days contributed.
  • Advise people to donate one to five days unless they are in the position to contribute the maximum of ten days. If you fall short, you can always have someone adjust the number of days on a new form.
  • Get people to complete the four steps right in front of you  – don’t leave forms or place them in mailboxes.
  • Do not let anyone send in forms to HR on their own – this is when people run the risk of submitting days that are not needed and the days go to waste – unused donated days ARE NOT retrievable. You maintain control by collecting and logging all submissions.
  • When you collect the required number of days needed, cut off the collection and submit only the number of days that the teacher needs.  
  • Maintain a list of each contributor and the number of days donated. You want this for your accounting and for the teacher benefiting so he/she can send thank you notes.
